Practical Insights: Crafting a Hybrid Work Collaboration Model

Gina Schumacher

In our practical example, we are presenting an exemplary company policy for hybrid working, which regulates what joint cooperation — office vs. mobile office— can look like.

Corona has changed the working world and working from home has become part of everyday life. Nevertheless, personal exchange with each other is extremely important for creative work and for a good corporate climate: Companies do not want to be an anonymous employer, employees appreciate the community in a pleasant and personal working atmosphere.

How do I create a hybrid work policy?

Are you currently also dealing with the topic of New Work or with a new hybrid working reality? Then our exemplary collaboration model for hybrid work can help you. The aim of the following policy is to combine mobile working from home and working from the office in the best possible way. Although every company has its own specialties, some points are the same almost everywhere.

Examples of a company policy for hybrid work

The 60% office/40% mobile office rate

According to the latest survey, it is the wish of many employees to work in the office three days a week and work from home for the remaining two days via a work-from-home model. Company leadership and staff pledge to adhere to the office occupancy ratio.

Colleagues' Day

A fixed day of the week could be colleagues' day. On this day all employees should come to the office. The aim is a joint exchange between everyone, the highlight of which is, for example, a free food event or a drink after work.

The Focus Day

In addition, there is a fixed Focus Day per week for each division (or team). This is used for technical coordination within the division or team. Every member of the department or team gathers at the office for in-person coordination.

Employees sit together and discuss a hybrid work policy.

The digital twin

All joint meetings — including those on Colleagues Day or Focus Day — still offer the opportunity to participate in meetings digitally at any time. Online meetings are also created for recurring meetings.

Desk sharing via app

So that everyone is sure to have a workstation or meeting room, desk sharing is introduced. This also facilitates teams to organize themselves in small groups on a project-related basis. Each employee books a workplace in advance via an app. Anyone who has forgotten to book a place can use QR codes locally to reserve a place via quick booking.

Clean Desk Policy

Since workplaces are changing from now on, a clean desk policy is important. This means that every employee leaves the workplace clean at the end of the day. Only standard equipment, such as the screen, remains on the table. In addition, the table should be disinfected after use. Personal items are stored in a separate compartment or mobile box.

Tip: Use our template and discuss the points together with colleagues or team leads. Jointly created guidelines ensure that everyone immediately feels involved and has good conditions for effective work.
