Google Groups with Flexopus: Automatically synchronize groups
Those who use Google Workspace as their central IT platform usually manage user groups directly there. Flexopus' Google Groups integration allows these groups to be automatically imported into Flexopus – including all members. This way, group management stays where it belongs: in your existing system.
What is Google Groups synchronization?
Google Groups synchronization connects Flexopus to your Google Workspace via the Google Directory API. Selected Google groups and their members are created as external groups in Flexopus.
The connection is set up via domain-wide delegation in the Google Admin Console. Flexopus receives only read access to the group structure – no write permissions are required. Synchronization runs automatically in the background, but can also be triggered manually.
Important: Only the groups you have explicitly selected in Flexopus will be synchronized – not all groups from your Google Workspace. Nested groups are transferred as flat groups, so that all members arrive at the first level in Flexopus.
What is the purpose of integration?
The integration bridges the gap between your existing group structure in Google Workspace and access management in Flexopus. Instead of maintaining groups twice, simply use what is already there.
A typical use case: You have two groups in Google Workspace – for example, TEAM-A and TEAM-B. After synchronization, you can specify in Flexopus that TEAM-A is allowed to book certain workspaces or rooms, while TEAM-B has access to other resources. You continue to manage membership in Google Workspace – Flexopus automatically applies the changes.
Onboarding new employees also becomes easier: As soon as someone is added to a synchronized Google group, Flexopus can automatically create a user profile – even before the person logs in for the first time.
How easy is the integration?
Setup is completed in just a few steps and requires no programming knowledge. In the Google Admin Console, a domain-wide delegation for Flexopus is set up once. Next, enter your Google admin email address into Flexopus and select the groups you want to synchronize.
After that, the synchronization runs fully automatically. You don't need to do anything else – changes to your Google Groups are regularly reflected in Flexopus.

Will all my Google groups be automatically synced?
No. Flexopus only synchronizes the groups that you have explicitly selected in the settings. All other groups in your Google Workspace will remain unchanged and will not be transferred to Flexopus.
What happens if I remove a member from a Google group?
During the next synchronization, the member will also be removed from the corresponding group in Flexopus. The user account itself remains in Flexopus – only the group membership is updated.
What data does Flexopus transfer from Google Workspace?
Flexopus exclusively reads group information and the associated members via the Google Directory API. Only the data necessary for synchronizing the selected groups will be processed. Flexopus only receives read access – no data is written to or modified in Google Workspace.
What happens if I disconnect the integration?
If you disconnect in Flexopus, automatic synchronization will stop. The previously synchronized groups will be retained in Flexopus, but will be converted into internal groups. This means you can then edit them locally in Flexopus. Additionally, you should remove the domain-wide delegation in the Google Admin Console to completely revoke API access.
Can groups from Google Workspace be edited in Flexopus?
No. Synchronized groups are marked as external groups in Flexopus and cannot be manually edited there. Names, members and structure are managed exclusively via Google Workspace. Thus, Google Workspace remains the sole source of truth for these groups.
